1.1 Google Account Information
When you sign in with Google, we receive the following information from your Google account:
- Your name
- Your email address
- Your Google profile picture
1.2 Google OAuth Tokens
If you grant permission, we also receive:
- Access token
- Refresh token
- Token expiry time
These tokens allow us to create Google Calendar events and generate Google Meet links on your behalf, inside your own Google Calendar. We do not access any other Google data.
1.3 Mobile Application Permissions
To provide a seamless experience on our mobile application, we may request the following permissions:
- Camera: Used for uploading images and video features (e.g., profile pictures, assignment submissions).
- Microphone: Used for audio and video features within the app.
- Location: Used for location-based services (e.g., attendance tracking, campus-specific features).
- Storage: Used for file uploads and downloads (e.g., reports, study materials).
- Push Notifications: We use Firebase Cloud Messaging (FCM) to send important updates and notifications to your device.
2. Why We Collect This Data
We collect this information for the following purposes:
- Admin authentication – to verify your identity and allow access to the admin dashboard.
- Google Calendar event creation – to create or manage meeting events inside your Google Calendar using the
calendar.eventsscope. - Google Meet link generation – to automatically generate and attach Google Meet links to scheduled events.
- User experience – to streamline scheduling and avoid manual meeting link creation.
We do not use your data for advertising and do not sell or rent your information.
3. How We Use Your Data
Your data is used strictly for:
- Logging you into the admin dashboard
- Creating calendar events that you request
- Attaching Google Meet links to your events
- Maintaining your session securely
- Refreshing expired Google tokens using your refresh token, when required
- Sending system notifications related to your account
Your data is never sold, rented, or shared with external parties except as required by law.
WebView Usage
Our mobile application uses a WebView to display certain content and features from our website. This ensures a consistent experience across all platforms. Any information entered into the WebView is handled according to the same security standards as our website.
4. Data Storage & Security
4.1 Token Security
- OAuth tokens are stored securely on our servers.
- Tokens are encrypted or stored in secure database fields with restricted access.
- Tokens are only used to perform actions you explicitly request (such as creating meetings).
4.2 Personal Information
Your name, email, and profile picture are stored to identify you within our system, show your profile, and keep activity logs for accountability.
4.3 No Third-Party Sharing
We do not share your personal data or Google data with advertisers or analytics companies. Data may only be disclosed if required to comply with legal obligations.
5. Data Deletion (Your Rights)
You may request deletion of your account and any stored OAuth tokens at any time.
We will process your request within 48–72 hours. After deletion, we will no longer access your Google Calendar or create meetings on your behalf.
6. Google API Services Disclosure
Our application uses Google APIs to enable login and Google Calendar / Google Meet functionality.
We comply with the Google API Services User Data Policy and its Limited Use Requirements. In particular:
- We only access Google Calendar data necessary to create and manage events for the signed-in user.
- We do not transfer Google user data to third parties except as required for providing the core functionality or by law.
- We do not use Google data for advertising or for building user profiles unrelated to our app's features.
- Human access to your data is strictly limited and only used when necessary for security, debugging, or legal reasons, and always under confidentiality obligations.
7. Cookies & Local Storage
We may use cookies or similar technologies to maintain login sessions, keep you signed in, and prevent unauthorized access. These cookies do not track your activity on other websites.
8. Children's Privacy
Our services are intended for school administrators, teachers, and staff, not for students or young children. We do not knowingly collect personal information from children under the age of 16. If you believe a child has provided us with personal information, please contact us so we can remove it.
